Cutting 90% of manual SAP invoice entry with OCR and AI
The challenge
The client processed a high volume of invoices every day. Each one had to be scanned, filed, named correctly, retrieved on demand, and ultimately keyed into SAP for accounting. Doing this by hand was slow, expensive and quietly error-prone — and the volume was only growing.
What we built
Omegamatrix built the Invoice Scanning and File Archiving System (IS&FAS), an OCR- and AI-powered pipeline that takes scanned invoices end-to-end: OCR extraction of invoice number, date and customer; searchable PDFs named by invoice number; instant search; structured data pushed directly into SAP; and a middleware layer that absorbs supplier-format variation.
The result
The savings were immediate. Roughly 90% of the manual time spent keying invoices into SAP disappeared. Search accuracy improved because every file was indexed on the data it actually contained, not on whoever named it. Labour cost dropped, errors dropped, and the finance team got their evenings back.
